Viewing and Printing Activity and Appointment Reports

You can print activity or appointment reports from any list of activities or appointments.

InterAction provides several out-of-the-box activity reports. These all produce PDF files you can view with Acrobat Reader (see How the Reports Are Displayed). Note that your organization can make other types of reports available, such as reports that export the results to Microsoft Excel.

You can choose which activities or appointments to include in the report. You can include:

  • All the items in the list.
  • Just the selected (highlighted) item.
  • A subset of the items in the list. To do this, select the check boxes for the activities or appointments you want to include.

From any list of activities or appointments, you can also choose the View Printable Version link to automatically display the out-of-the-box Activities by Date or Appointments by Date report.

In addition to the activity and appointment reports, you can also print out individual activities and appointments. The Web Client includes all the information you see when viewing or editing the item.

Note that activity and appointment reports can be configured not to show all contacts on the item if it has a large number of contacts.

Activities and Appointments with Several Contacts

The Appointments by Date report includes the contacts on each appointment. This report has been configured to not show contacts for activities that have more than ten contacts.

View an Activity or Appointment Report

  1. Open a list of activities or appointments.

    There are multiple ways to do this including the following:

    • Open the overview page for a contact and expand either the Activities or Appointments sections.

    • From the left-hand menu, choose Activities or Appointments from the Search for drop-down list. For more about finding activities or appointments, see Finding Activities and Appointments.

  2. Select the activities or appointments to include in the report from the list by selecting the check box next to each item.

  3. Choose View > Reports or select the Reports link. The Report Chooser displays the list of activity and appointment reports available to you.

  4. Adjust the Activities/Appointments Included if necessary.

  5. Select the report and choose View Now. Alternatively, to send the report to yourself in an email, choose Send to Me.

  6. Once you have opened the report in the appropriate application (Acrobat Reader, Microsoft Excel, etc.), you can print the report as you would any other document in that application.

View or Print a Single Activity or Appointment

  1. Find the activity or appointment you want to print.

    There are multiple ways to do this including the following:

    • Open the overview page for a contact and expand either the Activities or Appointments sections.

    • From the left-hand menu, choose Activities or Appointments from the Search for drop-down list. For more about finding activities or appointments, see Finding Activities and Appointments.

  2. Select the activity and choose Actions > Print Activity or Actions > Print Appointment. InterAction displays a printable view of the item.

    Alternatively, when viewing an individual activity or appointment, choose View Printable Version.

  3. Choose to Save and/or Print.

    • Save opens a dialog box in which you can specify the file name and type for the report (HTML file or text file).

    • Print opens the standard Print dialog box. Select your printer options and choose Print.

  4. When you are finished, choose Close.

What Information is Printed?

Printing a single activity prints the following:

  • Date

  • Activity

  • Summary

  • Originator

  • Description

  • All contacts on the activity

  • A list of the documents attached to the activity

  • Summary
  • Location
  • Start Date
  • End Date
  • Regarding
  • Type
  • Description
  • All contacts on the appointment
  • A list of the documents attached to the appointment
