Using Marketing Lists in the Windows Client
Using InterAction Windows Client, you can view all of the marketing lists that contain a contact by opening the contact details and choosing the Marketing List view.
Marketing List View
InterAction displays all marketing lists to which you have Read and Link Into access that allow the type of the contact (person or company). InterAction also displays any other marketing lists that contain the contact to which you have Read access.
NOTE The Marketing List view displays both Marketing lists with sponsorship and Marketing lists without sponsorship.
The check boxes in the first column next to each marketing list indicate whether the marketing list contains the contact.
You can sort the Marketing List view by any of the columns by clicking on the column heading. Click the column heading to change the sort order from ascending to descending (or vice versa).
You can view marketing lists by opening the Marketing Lists folder. For more information on using folders, see Working with Folders.
Adding a Contact to a Marketing List
There are several ways you can add a contact to a folder. In order to add a contact to a marketing list, you must have Read and Link into access rights to the folder. You can do any of the following:
- From the Marketing Lists contact details view in the Windows Client, click in the check box next to the marketing list name.
- In the Windows Client, select a contact and choose Contact > Copy. Open the folder you want to add the contact to and choose Contact > Paste Link.
- In the Windows Client, select a contact and drag the contact to a marketing list in the folder list. When InterAction selects the correct marketing list, you can drop the contact.
TIP You can Copy and Paste or Drag and Drop multiple contacts into a mailing list if you mark the contacts before linking them.
Setting the Sponsor
You can only set yourself or a user for whom you are a proxy as a sponsor for a marketing list. When you add a contact to a marketing list from the Marketing List view, you are automatically added as a sponsor for the contact.You can also set the sponsor for a contact when using drag and drop or copy and paste to add a contact to a marketing list. When using these tools, you can select the sponsor from a list of users.
Setting and Removing Sponsorship for a Contact
Each marketing list has a Primary Sponsor additional field and an Other Sponsors additional field. The Primary Sponsor is a single-value additional field, while the Other Sponsors field is a multiple-value additional field.
TIP You can configure the sponsor fields to use other terminology. For more information, see the Configuring InterAction guide.
The first user set as a sponsor to a contact on a particular marketing list is set as the Primary Sponsor. Subsequent users added as sponsors are set as Other Sponsors.
Setting Sponsorship
To set the sponsor for a contact, you can do any of the following:
- Add a contact to the marketing list. For details, see Adding a Contact to a Marketing List.
- Select the marketing list from the contact’s Marketing List view and choose Marketing Lists > Add Sponsor.
If a contact has no sponsor set as the Primary Sponsor when you choose the Add Sponsor button, the new sponsor will be added as the Primary Sponsor. If the contact has a Primary Sponsor, the new sponsor will be added as an Other Sponsor.
You can set yourself or a person for whom you are a proxy as the sponsor for a contact through these methods. To set a different person as the sponsor for a contact, you can edit the sponsor additional fields. Note, however this requires you to have access rights to the additional fields for the marketing list.
Removing Sponsorship
To remove yourself (or a user for whom you are a proxy) as a sponsor, select the marketing list from the contact’s Marketing List view and choose Marketing List > Remove Sponsor.
How the Sponsor Fields Work
The following are some tips and notes about setting sponsor fields:
- Although sponsors are additional fields, you only need Link Into access rights to the marketing list to add yourself (or someone for whom you are a proxy) as a sponsor from the Marketing List view or from the New Contact wizard; you do not need Edit Additional Fields access rights.
- Because the sponsor fields are additional fields, you can also set or clear sponsor fields from the Additional Information view or via a marked operation. These operations, however, require Edit Additional Fields access rights to the marketing list.
- You should use caution when setting the sponsor fields via the Additional Information view or through a marked operation. In these cases, you must specify whether you are setting the Primary Sponsor or adding an Other Sponsor. If you add a Primary Sponsor for a contact to a marketing list that already has a Primary Sponsor, the first value is overwritten. It is safer to set the sponsor from the Marketing List view or the New Contact wizard, where InterAction will automatically set the sponsor as an Other Sponsor if there already is a Primary Sponsor.
- If you add a contact to a marketing list via drag-and-drop or Copy and Paste Link, InterAction will set you as the contact’s primary sponsor. If you are a proxy for other users, it will allow you to choose the contact’s primary sponsor.
Removing a Contact from a Marketing List
Before you remove a contact from a marketing list, you should make sure that no users are still sponsors for the contact.
In order to remove a contact from a marketing list, you must have the Delete Contacts access rights to the folder. If you remove a contact from a marketing list, the folder-specific information for the contact is deleted.
To remove a contact from a marketing list, do any of the following:
- From the Marketing List view of the Windows Client, clear the check box next to the folder.
- Select the contact and choose Contact > Delete Link. You can remove several contacts from a folder if you mark contacts before doing this.
When you delete a contact a warning dialog box appears. Choose Yes to delete the contact from the folder.
